CRM Integration

A phone system built to live inside Rent Manager

Click to call tenants, owners, and vendors directly from Rent Manager. Inbound calls open the right tenant record before you answer. Every business call logs back to Rent Manager automatically — no manual entry.

What the Rent Manager integration does

Four capabilities Rent Manager users tell us they actually use. We've kept the scope honest — what the integration does, and what it does not.

Click-to-call inside Rent Manager

Phone numbers on tenant, owner, prospect, and vendor records become clickable. One click places the call from your office phone or mobile line. No app switching.

Tenant screen pops with context

When a tenant calls in, Rent Manager opens to their profile automatically. Your team sees property, unit, rent balance, and recent service issues before answering.

Calls log to tenant records

Every call ties back to the matching Rent Manager record. Date, time, duration, direction, and outcome are captured so your team has a complete tenant communication history.

Multi-property workflows

For portfolios spanning multiple properties or LLCs, calls are tagged to the correct property automatically. Owner statements and tenant records stay clean across the portfolio.

How it works

Setup uses Rent Manager's RESTful API. No client software installed on every workstation, no middleware running in the background.

1

Authorize the connection

Your Rent Manager administrator provisions API access in Rent Manager's API settings. This is the same kind of secure access used for any modern Rent Manager integration.

2

Configure field mapping

We use Rent Manager's REST API to read tenant, owner, prospect, and vendor records. You decide which fields drive screen pops, which appear in your team's call interface during a live call.

3

Start handling calls

Click any phone number in Rent Manager to call. Incoming calls open the matching record. Every interaction logs back. Multi-property tagging happens automatically.

No separate integration fee.

The Rent Manager integration is included with phone service. You pay for the phone service plan — $17 or $32 per user per month — and the integration is bundled in.

Common questions about the Rent Manager integration

Honest answers about scope, requirements, and what's actually included.

Which Rent Manager editions does this work with?

The integration works with Rent Manager versions that have API access enabled. This includes Rent Manager Express, Online, and Enterprise tiers. If you are unsure whether your Rent Manager configuration has API access, your Rent Manager account manager can confirm.

Does the integration handle multi-property LLC structures?

Yes. Calls are tagged to the property record they originated against, so for portfolios where each property is held by a different LLC, the call records stay accurate per entity. Owner statements and per-property accounting are not affected by the phone system.

What does the integration cost?

Nothing extra. The Rent Manager integration is included with our phone service ($17 or $32 per user per month). No separate integration fee.

Can my on-site managers use this on their personal phones?

Yes, with Pro Mobile. On-site managers, maintenance coordinators, and traveling staff get a real business cellular line that works exactly like the office phone — click-to-call from Rent Manager, screen pops on inbound calls, automatic logging.

How is data security handled?

API connections use Rent Manager's secure authentication. We do not store tenant or owner personal data on our side beyond what is needed for call routing — phone numbers and matching keys. Tenant records remain in Rent Manager.

How does it handle a tenant who has multiple numbers on file?

Rent Manager can store multiple numbers per tenant. Our integration matches inbound calls against all numbers on the record. Whichever number rings in opens the same tenant profile.

How long does setup take?

Most Rent Manager customers are live within a few business days. API authorization is fast; the bulk of setup time is field mapping and testing against your specific Rent Manager configuration.
