A phone system built for dental practices
HIPAA-compliant call handling, AI receptionist for after-hours and overflow, cloud fax for referrals and labs, and one platform across every office location. Designed for general dentistry, specialty practices, and DSO operations.
What the Dental Practice integration does
Four capabilities that match how dental practices actually run — high inbound patient call volume, after-hours coverage needs, fax-heavy referral workflows, and HIPAA exposure on every interaction.
HIPAA-compliant call handling
Phone service configured for HIPAA-aligned operation, including a Business Associate Agreement (BAA) signed as part of onboarding. Call recording, voicemail storage, and access controls configured to your compliance policy.
AI Receptionist for after-hours and overflow
AI Receptionist answers calls 24/7 when your front desk is busy or closed. Handles routing, takes messages, books or confirms appointments, and escalates emergencies. HIPAA add-on available for $49/month.
Cloud fax for referrals and labs
vFAX sends and receives faxes by email — no fax machine, no fax line. HIPAA-compliant with a signed BAA. Common workflows: referral letters, lab orders, insurance pre-auths, specialist consultations.
Multi-location for groups and DSOs
One phone system across every office. Central management, per-location number assignment, single bill. Calls and patient records stay tied to the correct office.
How it works
Setup is paced around your HIPAA review process — we sign the BAA, you review the technical safeguards documentation, and we configure call handling to match your compliance policy.
Sign the BAA and review safeguards
We sign a Business Associate Agreement before any PHI flows through our systems. Your compliance officer reviews our technical safeguards documentation — encryption, access controls, audit logging, retention policies.
Configure to your compliance policy
Call recording, voicemail retention, AI Receptionist data handling, and fax workflows are configured to match your practice's HIPAA policy. We do not assume defaults — every compliance setting is your decision.
Roll out across your locations
Phones provisioned per office, AI Receptionist configured, fax numbers ported. Multi-location practices get one administration across every site.
No separate integration fee.
The Dental Practice integration is included with phone service. You pay for the phone service plan — $17 or $32 per user per month — and the integration is bundled in.
Who this is for
This setup is built for dental practices of these types and sizes.
- Solo and multi-doctor general dentistry practices
- Specialty practices — orthodontics, oral surgery, periodontics, endodontics, pediatric dentistry
- Dental groups and DSO operations with 3 to 50+ locations
- Practices that need HIPAA-compliant communications with signed BAA
- Offices that send and receive high volumes of fax (referrals, labs, insurance)
Common questions about the Dental Practice integration
Honest answers about scope, requirements, and what's actually included.
Do you integrate with Dentrix or Eaglesoft directly?
Not currently. Dentrix integration requires a Henry Schein One API partnership with SOC 2 Type II certification and, for the on-premise Dentrix product, a per-office local agent — that's a larger engineering commitment than we have made yet. The phone system works well alongside Dentrix and Eaglesoft as a separate but parallel system; we are tracking demand for direct integration. If integration with your specific practice management software is critical, mention it during evaluation.
Is the AI Receptionist HIPAA-compliant?
Yes, with the HIPAA add-on at $49/month on top of any AI Receptionist tier. This includes a signed BAA, encrypted transcripts, and configuration that prevents the AI from collecting protected health information it shouldn't. The AI is designed to handle routing, scheduling, and general inquiries without prompting patients for sensitive health details.
Can the AI book appointments directly into our schedule?
The AI can book into connected calendars. For practices using practice management software that exposes a calendar API, we can integrate the AI's booking into that calendar. For practice management software without that capability, the AI takes the appointment request as a structured message that your front desk schedules into your system. Setup is configured during onboarding.
How is vFAX compliant for sending referrals and lab orders?
vFAX is HIPAA-compliant when configured with a signed BAA and your team uses it according to standard HIPAA workflows — meaning sent and received faxes are handled like any other PHI document. The technical transport is secure; compliance also depends on how your staff handles fax content.
Can we record patient calls?
Yes, but recording PHI carries its own compliance weight. Most practices configure recording as off-by-default with one-button activation for specific calls — like complaint resolution or clinical instructions you want documented. Recording policy is your practice's decision; we provide the technical control.
Will this work for multi-office DSO operations?
Yes. Multi-location practices get one phone system with per-office number assignment, location-tagged call records, and central reporting. Patients calling a specific office reach that office; calls escalated between offices preserve their location context.
What does it cost for a typical 5-doctor practice?
Roughly: 8-10 phone service users at $32/month all-inclusive (front desk, doctors, hygienists, sterilization area, treatment rooms) plus AI Receptionist Professional at $199/month plus HIPAA add-on at $49/month plus vFAX Standard at $25/month — total around $530-590/month for the practice. Pro Mobile is extra if doctors need cellular business lines for after-hours.
How long does setup take?
Most dental practices are live within 1 to 2 weeks. The BAA signing and HIPAA configuration review takes longer than technical setup; once that's complete, phones and AI Receptionist provision quickly.
