What HIPAA compliance covers on Pro vFAX

We provide a Business Associate Agreement, encrypted transmission, secure storage, and audit logs. Faxes are not retained beyond the operational window required for delivery confirmation and replay.

The flow below applies to email-to-fax sending. The same pattern works in reverse for inbound: a fax received on your number arrives in your inbox as a PDF attachment.

STEP 1 Email a PDF Attach the document. Send to the fax number. STEP 2 vFAX routes Converted, encrypted, sent over the carrier. STEP 3 Recipient receives Their fax machine prints, or their inbox receives PDF. STEP 4 Confirmation back Delivery status email, portal log entry.

Inbound faxes work the same way in reverse. Someone faxes your number; the PDF arrives in your inbox.

  • Additional users are $3 each: All plans include a starting user count. Beyond that, more users are billed at $3/each. No tier-based gating.
  • HIPAA requires BAA before PHI: Compliance only applies after the Business Associate Agreement is signed. Don't transmit PHI before activation; we handle this in onboarding.
  • Geo-redundant, not zero-downtime: Our fax infrastructure is geo-redundant across data centers. We don't promise zero downtime — we promise resilient routing and transparent status when something goes wrong.
  • Numbers are portable: Bring your existing fax number with you, or take it with you on exit. We don't hold numbers hostage.

How much does vFAX cost per month?

Four tiers. Standard is $25 per month for 300 pages and 2 users, with $0.10 per page overage. Power is $35 per month for 800 pages and 3 users, $0.08 per page overage. Power Plus is $49 per month for 2,000 pages and 5 users, $0.04 per page overage. Enterprise pricing is custom for very high volumes. Additional users on any tier are $3 each per month.

Is vFAX HIPAA compliant?

Yes. vFAX is HIPAA compliant when configured properly with a Business Associate Agreement (BAA) in place. We sign the BAA as part of onboarding for healthcare customers. HIPAA compliance also depends on how your team handles inbound and outbound fax content — fax routing rules, access controls, and retention settings — which we walk through during setup.

Can I send and receive faxes from email?

Yes. You can send faxes by emailing a PDF to a designated fax email address, and receive faxes as PDFs delivered to your inbox. You can also send and receive through a web portal if you prefer not to use email.

Do I need a fax machine for this to work?

No. vFAX is entirely cloud-based. No fax machine, no fax line, no physical hardware required. You send faxes from email or a web portal and receive them as PDFs.

Can I port my existing fax number?

Yes. We port existing fax numbers in for $15 per number, the same as voice numbers. Porting typically takes 5 to 10 business days. Your existing fax number works the same way during and after the transition.

What happens if I go over my page allotment?

Overage pages are billed at the published per-page rate for your tier — $0.10 per page on Standard, $0.08 on Power, $0.04 on Power Plus. If you regularly exceed your tier, moving up to the next tier is usually cheaper than paying overage rates.

Is vFAX considered legally equivalent to a traditional fax for compliance purposes?

Yes. Cloud-based fax services that handle the SIP-to-fax conversion correctly produce faxes that are legally and regulatorily equivalent to traditional fax for healthcare, legal, and financial compliance purposes. vFAX is used by healthcare practices, law firms, and insurance agencies in regulated workflows.
